Overview

Learn how you can manage and change your personal information and other user settings.

In user settings, you can view and, by clicking on the edit button, change your personal information and settings.

User settings – My profile
  • Profile picture – You can upload a picture up to 100KB in size in one of the supported formats (jpg, png).
  • First name
  • Last name
  • Email – this field cannot be changed.
  • Other properties – List of additional user properties set by the Administrator on the organizational level. May differ between different roles. You can change the value of these properties if allowed – otherwise, they are read-only.

  • Notification settings – The system allows user notification through two main channels: in-app notification (shown in separate notifications list at the top of the application screen) and email notifications sent through the platform’s outbound email service. In this tab, the user can configure his notification preferences. Each even allows the user to enable or disable email notifications. In-app notifications are always enabled.
User settings – Notifications
  • Delegation – you can delegate your work and notifications while out of the office. To enable this flag, the following parameters are required: 
    • Delegation start date 
    • Delegation end date.
    • Note: Any tasks delegated to you will not be delegated further. At the same time, if people who you delegate your tasks to choose to delegate their tasks, that will not include your tasks. 
    • Scope of delegation:
      • Notifications – Selected user will receive all notifications to the selected user. 
      • 2IC re-assignment – Selected user will become 2IC for all active tasks that you are 2IC for. 
      • Second in charge (2IC) – Selected user becomes 2IC for all tasks which you own and do not have 2IC already defined. 
      • Task re-assignment – All tasks you are assigned to will be temporarily re-assigned to a selected user.
User settings – Delegation
  • Time zone – Overrides time zone setting for the Organisation. Uses Organisation setting as default.  All date/time calculations and settings take into account your time zone.  
  • Deleted files – PIQNIC allows two-stage deletion which means that all documents and files you have deleted can be restored or permanently deleted. These functions are available in the pop up list showing the following information: 
    • Document Title, Date Created, Date File Deleted, Document Metadata (another pop up with document metadata values). 
    • Date File Deleted – Files can be individually deleted. When the last file in a document is deleted, the document is deleted as well. 
    • The list can be sorted on any of the columns except Document Metadata. Default sort is Date File Deleted.  Each document is by default expanded into files showing File Title, Date Deleted and Deleted by. 
    • One or more deleted files can be selected to be undeleted.
    • One or more deleted files can be selected to be permanently deleted.
    • All permanent document deletions are logged and are shown in audit reports. 
  • Deleted by Policy tab – available only to authorised users. It is a pop up that authorises permanent deletion of documents selected by the retention policy. List columns are: 
    • Title, Deleted by (Retention Policy), Date, Metadata fields (another pop up showing document metadata). 
    • List is sorted by Date by Default but can be resorted by any column.
    • Documents can be individually selected or de-selected. (Shift-click and control-click shortcuts are supported).
    • Select all selects/deselects all documents in the list. For selected files, actions are: 
      • Authorize purge 
      • Remove from the list – This action permanently removes the document from the purge list and it will not be processed again by the same retention policy. 
  • Pop up list of in-app notifications – When it is open, new notification count is reset. List is automatically purged of notifications older than 30 days. Each in-app notification contains a link that will redirect to the respective object (document, task) that triggered the notification, mark notification as read, and reset the counter.
