Document Details Pop-up panel

Whenever you view a document and its files (usually from the search results panel, but also when opening Bookmarked documents from the Favourites list), Document Details screen opens up.

Document Details is a tabbed panel where each tab represents a document opened during the current user session. This layout allows easy navigation between documents opened from various searches the user has run.  

Individual viewer tabs can be closed by clicking on x button on the tab.  

The whole panel is dismissed by clicking on x button in the upper right corner. 

Document Details has the following frames: 

Document metadata

This panel shows metadata associated with the document. 

System properties group is read-only and can be expanded to see system information, such as: 

  • Created by 
  • Created on 
  • Document ID 
  • Ingested through (Save Profile Name) 
  • Last updated by 
  • Last updated on 
  • Volume stored on 
  • Author 

Other document metadata is displayed above System Properties. 

Fields shown to the user are configured by the System Administrator (system uses Save Profile definition with “Use for Document Properties” flag enabled). 

Document Metadata is editable if the user has adequate Modify Access Policy assigned. Editing is activated by clicking on edit button. 


File Panel (attachments and versions)

PIQNIC documents can have more than one file or URL reference in cases where a document has several versions or related files are saved together (similar to how related files are attached to email messages).

Files are represented with the document type icon and the File Title.

Deleted files

Deleted files are shown only if the user selects “show deleted files” checkbox. 

They will remain visible and can be undeleted until they are permanently deleted through [Deleted Files] panel.  

Delete

Deletes selected file subject to Modify Access Policy set by the administrator allowing it. When the last file is deleted, document is deleted as well.  

Add version

Available only for the latest version. 

Prompts for:

  • Major or minor version selection 
  • Optional description

Shows current File Title which can be changed by the user.

Double click

Double click opens a file in the viewer panel.

Single click

Single click sets focus on the file. 

File Rename

File Rename allows File Title to be changed. 

File Information

File Information show a tool tip panel with file information.

Download file 

File panel is a Drag & Drop target allowing files to be added as: 

  • versions if the Drag & Drop target is another file in the panel 
  • related file if the highlighted target is top of the list.  

User is prompted to confirm in both cases. 


Viewer Panel

This is where supported file types are displayed. 

A list of supported file types for browser viewing is provided in the Organisation settings. If the file type is not supported or is larger than the threshold provided in the Organisation settings, a prompt will be displayed warning users and offering to download file to be viewed in native application. 

This will download file in default download directory and try to open it.  

Viewer always displays just one file from the document: 

  • If the Document Details is opened by double-clicking on a document in Search Results or Favourites document list, the viewer displays the most recent file. 
  • If the Document Details is opened by double-clicking on a file in Search Results or Document Details’ File Panel, the viewer displays the selected file.  

The following commands are available for the selected and displayed files: 

Bookmark

It is a toggle that bookmarks the document and places it into the Favourites list or removes the document from the Favourites list. 

Bookmark status of the document is indicated by the solid colour of the button’s icon. User is prompted for the Title and to select Favorites folder the bookmark will be placed into. 

Download

Prompts user to select a file to download. 

It may also prompt the user to select a folder to download selected files into or downloads selected files to the default download folder. 

Email

Prompts user to select a file to email. 

Email action is a combo button offering three options to email selected files: 

  • Send as attachment – creates a new email with selected files physically attached irrespective of their size. Non-PIQNIC URLs are sent as references. 
  • Send as reference – prompts user for a message and creates a new email and adds URL of the files. When the receiver clicks on the link, PIQNIC authentication is asked, if passed, files are available to view/download through Document Details .
  • Send as a task – initiates File Sharing mode of PIQNIC collaboration. User is prompted to enter Task name, Description and select users as described in Create Task panel.   

Subscription

Subscription is available only for repository documents. It is a toggle that enables/disables document version subscriptions. 

Subscription status is indicated with a solid colour of the button’s icon.  Whenever a new version is added to documents user is subscribed to, an email will be sent using the appropriate template for this type of event.  

Selected document(s) will be added to list of subscriptions in User Preferences . 

Delete

Document is soft-deleted. It can be undeleted through undelete command in deleted documents panel but they do not appear in search results. 

Individual files are deleted through commands in the Attachments panel. 

Collaborate

Prompts to:  

  • Create new collaboration task using [create task panel] and adds viewed file to the task
  • Select an existing task – viewed files are added to it. 

User is prompted for File Title and Description before they are added to a task. 

Add related file

Adds file or URL to the document. 

User is prompted to:

  • Select the file or type URL location
  • Change Title – Title is the name of a selected file or Title of page URL points to by default  
  • Provide comments (description).

Show History

“Show History” Shows user activity on the document. 

Captured actions are: 

  • Download 
  • Email 
  • Email as link 
  • File deletion 
  • File addition
  • Collaboration initiated.

Each action is registered with a date and time, and user ID.
